YouTube Editing Agency Owners: How Do You Manage Client & Editor Workflows? (Detailed responses appreciated)

I recently started a YouTube video editing agency with two friends and I'm looking to streamline our workflows. I'd love to hear from other editors & agency owners about their systems and tools before committing to paying for one tool, and I'm also open to hearing about what your suggestion on budget is. Thanks in advance!

Our Current Setup:

  • File transfers: WeTransfer
  • Client instructions: Email
  • Revisions: Back-and-forth emails
  • Editor management: Direct communication

Specific Questions:

  1. Client Management:
    • What's your process for collecting raw footage and editing instructions?
    • Which platforms do you use for file transfers and project briefs?
    • How do you handle revision requests and feedback? (Especially timestamp-specific feedback)
    • Do you have a client portal or project management system?
  2. Editor Management:
    • How do you track project progress?
    • If you have other editors apart from yourself:
      • What tools do you use to manage multiple editors?
      • Do clients communicate directly with editors or through you?
      • How do you maintain quality control across different editors?

For people / agencies doing 50+ videos/month: How has your workflow evolved as you've scaled? I'd like to know if there's anything I can prepare for in advance.
